Who we are and what this policy covers

SimplyJob is a recruitment technology platform that connects job seekers, employers, recruiters, and consultancies. This policy applies when you visit our websites, create or manage an account, build or upload a resume, publish or apply for a job, communicate through the platform, or use our career and hiring tools.

It does not govern third-party websites or services linked from SimplyJob. Their privacy practices are controlled by their own policies.

Information we collect

The information we collect depends on your role and how you use SimplyJob.

• Account and identity data: name, email address, phone number, login credentials, role, and account preferences.
• Candidate and career data: resumes, education, skills, experience, work history, salary expectations, preferred locations, profile photographs, portfolio links, application responses, saved jobs, and interview activity.
• Employer and consultancy data: business and representative details, company profiles, verification documents, job listings, hiring preferences, candidate notes, pipeline activity, and offer information.
• Communications and support data: messages sent through the platform, support requests, feedback, and records of interactions with us.
• Technical and usage data: IP address, browser and device information, approximate location derived from IP, pages viewed, referring URLs, timestamps, feature interactions, cookies, and similar technologies.

How we use information

We use information to provide and improve SimplyJob, including to:

• create, authenticate, secure, and support accounts;
• display profiles and job listings according to the visibility choices available in the product;
• process applications and enable communication among candidates, employers, recruiters, and consultancies;
• provide resume tools, job recommendations, search, matching, interview support, and other AI-assisted features;
• verify users and organisations, prevent fraud, investigate misuse, and enforce our Terms;
• send service messages and, where permitted, product updates or marketing communications;
• analyse performance, troubleshoot errors, and improve accessibility and user experience; and
• comply with legal obligations and respond to valid legal requests.

Where applicable law requires a legal basis, we rely on performance of our contract, legitimate interests, consent, and compliance with legal obligations, as appropriate to the activity.

AI-assisted features and matching

SimplyJob may use automated systems to help parse resumes, generate or improve content, recommend roles or candidates, support search, and assist with recruitment workflows. These outputs are intended to assist—not replace—human judgement. Recommendations and generated content may be incomplete or inaccurate, so users should review them before relying on or publishing them.

We do not represent that an automated score, ranking, recommendation, or generated response guarantees suitability, employment, an interview, or a hiring outcome.

How information is shared

We share information only as needed to operate the platform and in accordance with user settings and applicable law.

• With recruitment participants: candidate information may be shared with employers, recruiters, or consultancies when a candidate applies, makes a profile discoverable, or otherwise directs us to share it. Employer and job information is displayed to candidates and other authorised users.
• With service providers: trusted vendors may process hosting, storage, security, analytics, communications, authentication, document processing, and customer-support data on our behalf.
• For safety and legal reasons: we may disclose information to comply with law, protect rights and safety, investigate suspected fraud, or enforce agreements.
• During a business transaction: information may be transferred as part of a merger, financing, acquisition, reorganisation, or sale of assets, subject to appropriate safeguards.

We do not sell personal information for money. We do not authorise employers or recruiters to use candidate information for unrelated marketing.

Retention and deletion

We retain personal information for as long as reasonably necessary to provide the service, maintain business and security records, resolve disputes, enforce agreements, and meet legal, tax, or regulatory requirements. Retention periods vary by data type and account status.

You may update information through your account and request account deletion through the available account controls or our contact page. Some information may remain in backups or be retained where required by law or necessary for legitimate purposes such as fraud prevention.

Security and account responsibility

We use reasonable administrative, technical, and organisational safeguards designed to protect information, including access controls and security monitoring. No internet transmission or storage system is completely secure, and we cannot guarantee absolute security.

Keep your password and verification codes confidential, use a strong and unique password, and tell us promptly if you believe your account has been compromised.

SimplyJob is intended for people who are legally able to seek employment or use recruitment services. It is not directed to children under 18. If you believe a child has provided personal information without appropriate authorisation, please contact us.

Our service providers may process information in locations other than your own. Where required, we use appropriate safeguards for cross-border transfers. We may update this policy as our services or legal obligations change. Material updates will be communicated through the platform or other appropriate channels, and the effective date above will be revised.
